Job Summary:

The University Registrar should be an experienced, innovative, and collegial leader with a commitment to advancing the undergraduate and graduate academic units, supporting the progression and success of students, and embracing a student, staff, and faculty service orientation. In addition, the University Registrar ensures the integrity, accuracy, and security of all academic, curricular, and educational records while helping to ensure compliance with federal, state, and other agency standards. As a key academic leader on campus, the University Registrar enforces university academic policies and leads a professional team that coordinates functions vital to the institution, such as course scheduling and registration; academic calendars, catalogs, and ceremonies; the matriculation of new students; and the maintenance of degree progress and graduation audits, in preparation for the posting of earned degrees. Essential Functions:

  • Lead the Office of the Registrar in its role to support student success and to monitor the academic experience offered to students.
  • Ensure the accuracy, confidentiality, security, and integrity of student records and Asbury undergraduate and graduate degrees.
  • Assess and analyze the business processes and communication strategies of the Office of the Registrar to ensure alignment with student outcomes and other institutional goals.
  • Supervise, recruit, retain, develop, and mentor the professional staff of the Registrar’s Office, while promoting a collaborative workplace.
  • Partner and communicate with key administrators and academic leadership to support the effective functioning of the University.
  • Support all University retention efforts and work collaboratively with other student service departments to promote collaborative efforts that guide students through academic policies and processes.
  • Serve on academic committees and task forces as requested by the Provost; participate in discussions regarding implementation of and modifications to enrollment, academic, curriculum, technology, and record policies and procedures.
  • Advise the Provost on matters relating to the integrity of the curriculum and as a resource to committees.
  • Prepare end-of-semester recommendations for the Provost regarding Satisfactory Academic Progress and Dean’s List.
  • Serve as the first review for academic appeals, fielding and responding to these requests in accordance with the Academic Catalog academic appeal policy.
  • Ensure the accurate and timely awarding of academic credit in accordance with the University transfer policy.
  • Interpret and abide by federal and state laws and statutes, including the Family Educational Rights and Privacy Act (FERPA), statistical reporting, academic credit transfer, and academic transcripts.
  • Facilitate and interpret the state licensure (Kentucky Council of Postsecondary Education) requirements for new and modified academic programs.
  • Work with SEVIS (Student and Exchange Visitor Information System)
  • Keep current with Registrar role best practices, following the AACRAO principles of professional ethics and practices.
  • Provide leadership on issues related to technology systems and implementations relating to academic records and the student’s academic experience, while striving toward system automation for the purposes of accuracy and efficiency.
  • Oversee the effective use of the student information system (Anthology Student), including training, reporting, and process documentation.
  • Facilitate communication between offices that gather campus data, and provide information and reports related to registration enrollment as requested by the Provost and other campus officials.
  • Represent the university externally in those networks dealing with academic record integrity and the certification of student achievement.
  • Direct the activities and responsibilities of the Office of the Registrar, including but not limited to:
    • Business processes and procedures, and academic policy review
    • Annual Academic Catalog production (Acalog and Asbury website)
    • Annual Commencement service leadership and related details
    • Curriculum maintenance and new program entry (Curriculog and Anthology Student)
    • Reviewing and posting academic credit, including transfer, dual credit, and credit by examination, consulting the faculty departments as needed (College Source TES and Transferology, Anthology Student)
    • Course scheduling with faculty departments (Anthology Student)
    • Online registration management (Anthology Student and Asbury Online Services)
    • Faculty processes such as grading and advising using the Degree Progress Audit (Anthology Student and Asbury Online Services)
    • Official transcript production and dissemination (National Student Clearinghouse)
    • Budgetary administration, and supervision of supply orders (Asbury Fusion)
    • Academic calendar production and approval processes
    • Technology implementations and updates (Anthology Student, Curriculog, Acalog, College Source TES and Transferology, Mazevo, Reach360)
    • Degree Progress Audit maintenance and upgrades (Anthology Student and Asbury Online Services)
    • Academic petition, course substitution, and course contract review processes and procedures (Curriculog and Anthology Student)
    • Degree applications and graduation audits (Anthology Student)
    • Posting earned degrees (Anthology Student) and ordering/distributing diplomas
    • Processing probation and suspension decision details and sending related communications
    • Student retention efforts (Reach360)
    • University absence excuses (Reach360)
    • Classroom assignments (Mazevo)
    • Verification of enrollment for current students and degree verification for alumni (National Student Clearinghouse)
    • Athletic eligibility management and reporting, in collaboration with the Athletic Department (NCAA, Division 3)
    • Engage with current and future University academic partner institutions on student and curricular needs
    • Work collaboratively and coordinate details with the student accounts and financial aid offices
    • Schedule and send proactive and timely communication to all constituents
  • Other duties as assigned.

Position Type/Expected Hours of Work:

While this is a full-time position, which is configured around the normal work, Monday through Friday, 8:00 a.m. to 5:00 p.m., the position often requires additional hours and weekend work.

Travel:

Minimal travel is expected for this position.

Qualifications:

  • Master’s degree from an accredited college or university.
  • Minimum of 3-5 years of experience required as a registrar or associate registrar (or other administrative/faculty member), at an accredited higher education institution with significant academic records administration experience.
  • Demonstrated high-level skills in administration, problem-solving, interpersonal and written communication, organization, technology usage, and personnel management.
  • Innovative and energetic leadership style, with a demonstrated commitment to staff development.
  • Ability to understand and explain policy, and the purposes of policy within an organization.
  • Adept at working effectively and cooperatively as a colleague with university administrators, faculty, staff, and students.
  • Technology interest and experience, preferably with demonstrated student information system experience.
