I.T.S. Services

Av Event Support

We provide professional event support including audio, video, and lighting. Request support for your event here! This group of 20+ professional student employees and full time staff members are responsible for over 300 events per year, including Asbury University’s Chapel, Music Department Recitals, and many other community events. I.T. Services can only support Asbury University events on campus.  For exceptions (events off-campus), please connect with us via our contact form.

  • For events involving cabinet officers, events with estimated attendance over 50 people, and for all events requiring significant stage management, we require a meeting between the primary contact, and a representative from our staff.
  • Two weeks advanced notice is required for all events.  Events which are late (within two weeks) are subject to staff and equipment availability.  Due to staffing and equipment logistics, events with less than 48 hours’ notice will be refused. Accepted (staffed) late events are subject to a $25 fee.
  • Requests made for support are not guaranteed to be filled, and are subject to availability of staff and equipment.  In cases where we are unable to support the event, we will pass contact information for local vendor partners so that you can arrange support independently.
  • If your event requires equipment that we do not offer, we will obtain a quote on your behalf from local vendor partners and give you the option of renting additional equipment.
  • Event Support Requests can only be made by members of the Asbury University Community.  Guests and Conference Attendees must go through the sponsoring office, or the Office of Conference Services.
  • I.T. Services provides very limited services off-campus in support of select groups.  If your event isn’t on Asbury University’s Campus, you may be responsible for the rental/use of vehicles by I.T. Services for travel to/from the event.  This will be included in your final bill. If your event isn’t on campus, you will need to meet with a representative of our office for approval.
  • Services are extremely limited to buildings and property beyond the boundaries of the contiguous main campus.  Buildings & properties not typically serviced by I.T. ServicesS for events include the Equine Center, Wesley Building, Spanish & Kenyon Houses, & Windsor Manor
  • All changes to events must be submitted to I.T. Services 2 business days in advance. Violations of this will result in a $25 fee on your final bill.
  • All media for your event is due 2 business days before your scheduled event.  Media submitted after this deadline will result in a $25 fee.
  • Estimates are available on request, but will not be furnished automatically.
  • Account Number must be provided at initial request.  Requests without account numbers will be treated as incomplete. Incomplete requests must be completed with an account number at least 2 weeks out, or the event will be considered late, and will not be guaranteed ($25 fee applies to any late event).
  • Event sponsor assumes responsibility for stolen, missing or damaged equipment during their event and is liable for misuse by event participants, including mic drops.  Any equipment stolen, missing or damaged during the event will be charged back to the provided account number.
  • If your event requires a special layout, or setup done by Physical Plant, or another group, this request must be made independently to that office, and confirmed with us.  For events within the campus dining hall, all walls and tables should be moved the night before (by 8 p.m.).  If this cannot happen, we must be notified in advance.  For most events we prepare the night before.
  • For most events, we require a two-person minimum for staff. Larger events are staffed based on requests.
  • Please reserve the space at least 1 hour before and 1 hour after your event to provide us with sufficient time for setup and tear down.
  • Information Technology Services does not reserve spaces.  Reservations for campus spaces/locations should go through the Registrar’s Office.

Obtain copies of Asbury University’s Chapel program and other campus events or subscribe to our podcast feed. I.T. Services offers access to select Chapels and other performances via CD or DVD purchase. We also podcast most major campus events (including all Chapels) for the campus community and alumni communities to enjoy on a weekly basis. Computer Labs and Software

Our computer labs feature over 200 computers available to students, faculty, and staff. Asbury University provides eight computer labs for students, faculty, and staff containing over 200 Apple and Dell computers across 4 different buildings. Access to and reservations for these labs is available by request to the area coordinator for each building. Students may use any campus computer lab during normal building hours unless the room has been reserved for either a class or special event.

Each academic lab is updated annually with a current software image to enhance learning and support program objectives. Minor updates (mostly involving minor fixes in software and operating system) are performed throughout the year as time allows. The largest influence that the faculty have on this annual software cycle is the input they provide in the creation of the software list for the next year. This happens each year through regular communication from I.T. Services. Each academic lab is on a four year rotation of technology.  During this process, the lab is evaluated for improvements in hardware that will be necessary for future use. Any questions regarding this process should be submitted to I.T. Services by creating a support ticket.

Asbury University has one general-purpose “open” computer lab and seven instructional labs that are available to all students. These labs are open on schedules determined by the building they are located within. Students are provided free access to a wide variety of software in the computer labs including Microsoft Word, Microsoft Excel, Microsoft PowerPoint, web browsers, email, and any course-required software. Lab computers are running either macOS or Microsoft Windows operating systems.

Both color and black/white printers are available in our computer labs as well as flatbed scanners. Each academic lab is updated annually with a current software image to enhance learning and support program objectives. I.T. Services maintains frequent conversations with academic departments and faculty about their software-related needs, and adjustments are made throughout the year to meet those needs. The largest influence that faculty have on this annual software cycle, is the input that they give during the creation of the software list for the academic computer labs each Spring. If you have an Academic Software need, include the Software Title, Company Name, Projected Cost, Software Licensing Information, and Labs Requested for Software Installation to help us support program objectives and learning outcomes.

Printing Services on Campus

I.T. Services maintains a campus printing system for the benefit of students, faculty, and staff. There are printers in every computer lab on campus. There are 4 computer labs in the Kinlaw Library, 2 in the Miller Center for Communication Arts, 1 in the McCreless Fine Arts Center,  and 1 in the Hamann-Ray Science Center. In addition, students have access to a printer in the Student Center. In total, there are 9 locations on campus with printers for student use.

All Asbury students are provided with a $40 printing balance at the beginning of the semester. This balance refreshes back to $40 at the beginning of each new semester while the student is enrolled. The remaining print balance does not roll over to the next semester. Students can print past the $40 limit, and any charges they incur after the $40 is used will be charged to their student account and can be paid through the Cashier’s Office. If your print balance has been charged incorrectly (ex. charged for color when the document is black and white or being charged for a document that did not print), please see this document on Print Balance Refunds to have the amount refunded to your balance.

Asbury Faculty and Staff have printers located in their department and should print in those spaces. They are provided with a $5 “emergency” print balance if they need to print in the Kinlaw Library or one of the computer lab spaces rather than in their department. If a faculty or staff member needs to be mapped to a printer in their department, they should contact I.T. Services to set up an appointment.

Computer Purchasing Program

Want to buy a new computer? As a student or employee of Asbury University, you can receive discounts from Dell and Apple. Please call the Information Technology Services at (859) 858-3511, x2177 if you have any questions about purchasing a computer through these vendors.

  • Visit the following link to launch Apple’s purchasing website in a new window: https://www.apple.com/us-hed/shop
  • Because you have used the education link, all prices shown already reflect the educational discount. It will not show up as a discount in the cart, it will simply list it at the lower price.
  • Select the model that you want to purchase.
  • Configure it the way you want it, and follow Apple’s instructions for ordering online.
  • We strongly recommend purchasing the extended warranty (Apple Care), which provides extended warranty coverage for a total of three years. Without the extended warranty, Apple computers will be covered for only one year. Repairs that are required out of warranty can be very expensive.
  • Visit the following link to launch Dell’s purchasing website in a new window: http://www.dell.com/asbury (please wait a moment while this link redirects to Dell’s Asbury University page)
  • Select the laptop or desktop you would like to purchase.
  • The instructions on the Dell personal purchase page will lead you through the process of ordering your computer.

Please feel free to call Information Technology Services at (859) 858-5177 if you have any questions about purchasing a computer through our website. From time to time, used, surplus equipment may become available for sale through I.T. Services.  Please note that 100% of items for sale are used, and in most cases, heavily used prior to sale.  These are not items that we recommend for students or businesses or professionals to use and depend on for daily use.

Sale announcements are posted on campus Digital Signage and sent through the campus email system.  For more information about future sales, please contact I.T. Services at helpdesk@asbury.edu. I.T. Services does not provide online sale of equipment, and can’t ship any equipment from a sale.  All sales are in person, with no warranty, and final (no returns).

Want to use your own computer? Several general-purpose computer labs are available to students, though most elect to have their own computer. If you do bring your own computer, the following guidelines should be kept in mind:

  • Wireless access is provided across campus. Need the fastest connection? A wired connection to the network will get you there! Due to hardware changes by most manufacturers, students may need to purchase a USB to Ethernet adapter for their computers since most computer bodies no longer have a built-in Ethernet port. This adaptor is only necessary for students who want to connect their laptops to the wired network on campus, no adaptor or accessory is needed to connect to the wireless network.
  • Short Ethernet cables (less than 10 ft) are provided by I.T. Services free of charge. Longer lengths of CAT 5 or 6 networking cable are available at local retailers.
  • Information Technology Services will provide instructions for configuring your computer for the campus network during Welcome Weekend for new students. Please contact I.T. Services at anytime if you have questions about connecting to the network on campus.
  • If needed, Information Technology Services can assist with basic software installation and configuration, including installation of Microsoft Office. Look for solutions on your own through service.asbury.edu or visit I.T. Services on the lower level of the Kinlaw Library room 131.
  • Basic virus and malware removal is available in person in the I.T. Services office for free!
  • You are not required to have your own computer. Computer labs are available on campus with all necessary software and printers.
  • Asbury University provides a Microsoft Office365 license to all active students, faculty, and staff. The Microsoft suite can be downloaded online and authenticated with your Asbury credentials. See this solution for instructions.
  • Asbury University supports limited voice and video communication over the Internet. Not all video cameras (webcams) and internet phone software will function properly through the campus Internet connection. Assistance with Skype, Zoom, and other web conferencing software is available through I.T. Services. Foreign software programs and telephone devices are not recommended or supported by I.T. Services.
  • Laptops are recommended because of their portability. Students wishing to use tablet computers should consult I.T. Services and their faculty advisor about whether or not a tablet computer (iPad, Microsoft Surface, Nook, Kindle Fire, etc.) will fit their academic needs.

Networking and Data

Asbury University provides wired and wireless service to all dorm rooms, classrooms, public meeting spaces, and most offices. Asbury University maintains a campus-wide wired data network connecting all classrooms, offices, and dorm rooms internally and to the world wide web (WWW).  Additionally, we provide wireless internet access in all dorm rooms, and in most academic and community spaces, including the Kinlaw Library, Student Center, Dining Hall, and Bistro. All members of the Asbury Community and all guests are required to log into the Network through an Access Control Page. All on-campus connections are also monitored and filtered for inappropriate or malicious content. Students, Faculty, and Staff are each granted individual network server space shares of at least 200 MB (Faculty & Staff shares may be larger).  Additionally, I.T. Services provides up to 1 Terabyte (TB) of online digital storage through Microsoft OneDrive. Both the network server space share and OneDrive can be accessed on-campus on computer lab computers or personal computers, as well as off campus anywhere you can connect to the internet. Instructions on how to access both resources are available by contacting I.T Services through our support request form.
